District Administrative Assistant
The District Office of Congresswoman Alma S. Adams is seeking an administrative assistant. The administrative assistant will work directly with and report to the Deputy Chief of Staff to assist with the following (but not limited to):
- The Member’s official daily schedule, arrange travel plans, and related records;
- Briefing the Member on all district/community activities;
- Assists with scheduling district staff meetings and briefings;
- Provides high-level administrative support by conducting research for district and community events,
- Prepare memos and briefing documents
- Performing routine administrative functions such as preparing correspondences/reports
- Drafting congressional correspondences per requests of constituents
- Assist with planning, organizing, and executing all in person and virtual district events hosted by Congresswoman Alma S. Adams
- Staffing duties as assigned by member and Deputy Chief of Staff to include some driving
The administrative assistant must be able to pass a writing proficiency test; have a valid driver’s license and must be able to pass a criminal background check.
ESSENTIAL JOB FUNCTIONS REQUIRED:
- Candidates must be proactive, poised, experienced, have very strong attention to detail, and skillful at multitasking effectively in a fast-paced environment;
- Must be fluent in Microsoft Office Suite and video conferencing platforms (Zoom, Microsoft Teams, Skype, etc.) as well as office technology in general;
- Must have good analytical, communication and organizational skills as well as strong writing skills;
- Remain abreast of current district/community issues impacting the Member;
- Meet attendance requirements as established by the Office;
- Maintain a good working relationship with the Member, staff, and constituents, and other elected and/or non-elected officials offices;
- Work well under pressure, deadlines and handles stress;
- Accept performance-based criticism and direction; and
- Work a flexible schedule including long hours, some weekends and holidays.
EDUCATION/EXPERIENCE:
Strong academic credentials; and at least 3 years of professional administrative experience preferred. Graduate degree is preferred but not required. Previous Hill experience preferred but not required.
SKILLS AND KNOWLEDGE REQUIRED:
- Strong writing, editing, and proofreading skills;
- Strong communication skills;
- Knowledge of the legislative process, procedures, and organization of the House;
- Knowledge of current issues and events in which the Member is involved;
- Ability to exercise discretion and independent judgment in the representation of the office;
- Ability to work cooperatively with others; Team player
- Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner;
- Must have Knowledge of office policies, practices, and procedures; and follow according to the office handbook
- Knowledge of office computer applications; and
- Proficiency in Microsoft Word, Power Point, Access, Excel, and other database management software.
Candidates should possess sharp attention to detail, excellent people skills; strong communications skills and be a team player with a positive attitude. The successful candidate will have strong interpersonal skills and the ability to communicate clearly in a fast-paced environment and work effectively with teams in both the district office and DC office. Preference given to candidate that live in the 12th congressional district (or at least live in North Carolina).
